- Upon receiving your inquiry or report, the person in charge will review it, send an initial response acknowledging receipt, and confirm your requests regarding how the matter should be handled.
- We will conduct necessary investigations into the matter after obtaining your consent, unless there is a valid reason not to obtain such consent. However, the System Support Group may conduct fact-finding investigations without your consent if there is strong suspicion of a legal violation; a risk of serious impact on life, physical safety, or health (including mental health); or if we determine that the matter is highly critical and cannot be overlooked in light of our duty of care and social responsibilities.
- We will protect your privacy and strictly maintain confidentiality regarding the fact that an inquiry or report was made and its contents, except when necessary for the investigation.
- We will report the investigation results and any corrective actions to you, provided that doing so does not hinder the proper execution of our business or compromise the confidentiality, credibility, reputation, or privacy of interested parties. Exceptions apply if we are unable to contact you, if you refuse all communication and do not wish for the matter to be investigated, or in other unavoidable circumstances.
- The System Support Group will not tolerate threats intended to prevent individuals from seeking advice or making a report, any retaliatory actions against those who do so, or any other acts that interfere with investigations related to the inquiry or report.
- We may refuse to respond to an inquiry or report if we determine that it has been made for the purpose of obtaining improper gain, causing harm to others, or for any other wrongful purpose.
- While we accept anonymous inquiries and reports, please note that doing so may limit our ability to conduct fact-finding investigations and implement corrective measures. In addition, we will not be able to explain how the matter was handled.
